Airport Pickups & Flight Monitoring

Royal VIP Services tracks and monitors all incoming flights when a valid flight number is provided at the time of reservation. Chauffeur arrival times are adjusted according to flight status including delays, cancellations, or early arrivals.


Chauffeur Updates

Passengers and booking agents may receive text messages and email notifications (when contact information is provided) containing:

  • Chauffeur name
  • Chauffeur contact number
  • Service status updates

Examples of updates include:

  • Chauffeur en route
  • Chauffeur on location
  • Passenger in vehicle
  • Passenger dropped off

Airport Pickup Procedures

Express / Curbside Pickup (No Additional Fee)

Royal VIP Services recommends curbside pickup for travelers with light luggage or frequent travelers seeking expedited airport exits.

Our chauffeur will wait outside the terminal and establish communication directly with the passenger. Once the passenger is ready, the chauffeur will proceed to the designated pickup area curbside with passenger identification displayed when applicable.


Meet & Greet Service (Additional Fee Applies)

Meet & Greet service requires the chauffeur to park the vehicle and personally greet the passenger inside the terminal with a personalized name sign.

Domestic Flights

Passengers are met inside the baggage claim area.

International Flights

Passengers are met outside customs in the international arrivals area.

Additional Meet & Greet charges may apply.


Airport Wait Time Policy

Domestic Flights

Complimentary wait time begins after the first 30 minutes following the estimated flight arrival time.

International Flights

Complimentary wait time begins after the first 45 minutes following the estimated flight arrival time.

After the grace period:

  • Sedan wait time: $1 per minute
  • SUV and specialty vehicle wait time: $2 per minute

Passengers unable to locate their chauffeur must contact Royal VIP Services immediately before arranging alternate transportation.


Reservation Charges & Payments

  • All reservations are charged in advance.
  • Balances must be paid before the reservation begins unless otherwise approved.
  • A 50% non-refundable deposit may be charged at the time of reservation.
  • Some reservations may require full payment in advance.
  • Oversized vehicles may require:
    • Credit card authorization form
    • Government-issued identification
    • Garage-to-garage billing
    • Hourly minimums

Additional charges may include:

  • Parking
  • Tolls
  • Airport fees
  • Fuel surcharges
  • Administrative fees
  • Wait time
  • Overtime
  • Damage fees
  • Cleaning fees
  • Additional stops
  • Additional passengers

Base Rates, Fees & Gratuity

Base Rate

The base transportation rate does not include:

  • Gratuity
  • Airport fees
  • Administrative fees
  • Fuel surcharges
  • Parking
  • Tolls
  • Taxes

Gratuity

A discretionary gratuity may be added to reservations based on industry standards. Gratuity is paid directly to the chauffeur and may be adjusted or waived at management discretion.

Administrative Fees

Administrative fees may include operational, airport, licensing, municipal, regulatory, and reservation handling costs.

Airport Fees

Airport fees and parking charges are subject to change without notice.


Cancellation Policy

Standard Reservations

Cancellations made within 24 hours of scheduled pickup may be charged the full reservation amount including applicable gratuity and fees.

Specialty & Event Reservations

Certain reservations including weddings, specialty vehicles, events, and large group transportation may be subject to stricter cancellation policies.

Reservations canceled within 14 days of service for specialty reservations may be charged the full reservation amount.


Reservation Changes

Changes requested within 12 hours of scheduled service may result in additional change fees and are subject to availability.

Royal VIP Services reserves the right to deny modifications that interfere with operational scheduling.


No Show Policy

A no-show fee equal to the reservation amount plus applicable wait time, parking, tolls, airport fees, and gratuity may be charged when:

  • The passenger fails to appear at the scheduled pickup location
  • The passenger leaves without contacting the company
  • Alternate transportation is arranged without notifying Royal VIP Services

Passengers must contact the office immediately if unable to locate their chauffeur.


Overtime & Additional Service Time

Overtime is subject to chauffeur and vehicle availability.

Additional service time beyond the original reservation may be billed:

  • Hourly
  • Per minute
  • Rounded to the next billing increment

Overtime billing applies to:

  • Airport wait time
  • Additional stops
  • Delays caused by passengers
  • Event schedule extensions
  • Traffic-related delays requested by the client

Overtime rates are non-negotiable.


Passenger Capacity & Safety

Vehicles may not exceed legal passenger or luggage capacity limits.

For safety and legal compliance:

  • Smoking is prohibited
  • Vaping is prohibited
  • Illegal substances are prohibited
  • Underage alcohol consumption is prohibited

The chauffeur reserves the right to immediately terminate service without refund if passenger behavior:

  • Threatens safety
  • Damages the vehicle
  • Violates company policies
  • Places the chauffeur or vehicle at risk

Vehicle Damage & Cleaning Fees

Clients accept full financial responsibility for damages caused during the reservation by themselves or members of their party.

Charges may apply for:

  • Smoking
  • Burns
    • Upholstery damage
    • Excessive spills
    • Vomiting
    • Broken equipment
    • Excessive interior mess
    • Stained carpeting
    • Missing accessories
    • Damaged electronics
    • Exterior damage

    Cleaning and repair charges may include substantial minimum fees depending on the extent of damage.

    Royal VIP Services reserves the right to charge the payment method on file for any damages incurred during transportation service.


    Lost & Left Items

    Royal VIP Services is not responsible for personal belongings left inside vehicles.

    Recovered items requiring shipping may incur:

    • Shipping charges
    • Handling fees
    • Administrative fees

    Shipping services may be limited to United States destinations only.


    Vehicle Substitution

    Royal VIP Services reserves the right to substitute vehicles when necessary due to:

    • Mechanical issues
    • Scheduling conflicts
    • Operational requirements
    • Vehicle availability
    • Safety concerns

    Replacement vehicles may differ from the originally reserved vehicle category when necessary.


    Weather, Traffic & Mechanical Delays

    Royal VIP Services is not liable for delays, cancellations, missed flights, or interrupted service caused by:

    • Severe weather
    • Traffic conditions
    • Road closures
    • Mechanical breakdowns
    • Airport delays
    • Acts of God
    • Government restrictions
    • Unforeseen circumstances beyond operational control

    In the event of a mechanical issue, every reasonable effort will be made to provide a replacement vehicle.

    If a replacement vehicle is refused by the client, refunds may not apply.


    Liability Limitations

    Royal VIP Services shall not be liable for:

    • Missed flights
    • Missed appointments
    • Delayed arrivals
    • Indirect damages
    • Consequential damages
    • Personal property loss
    • Items left inside vehicles
    • Third-party service interruptions

    Client agrees to hold harmless Royal VIP Services, its affiliates, chauffeurs, agents, and employees against claims arising from misuse, misconduct, or violations of transportation policies.


    Customer Conduct

    Royal VIP Services reserves the right to establish and enforce passenger conduct rules including immediate termination of service without refund for:

    • Illegal activity
    • Unsafe behavior
    • Harassment
    • Destruction of property
    • Excessive intoxication
    • Smoking or vaping violations
    • Unauthorized vehicle use

    Legal & Collection Terms

    Outstanding balances, damage fees, overtime fees, cancellation fees, and other unpaid charges may be subject to:

    • Collection fees
    • Administrative fees
    • Interest charges
    • Attorney fees
    • Legal enforcement costs

    Clients authorize Royal VIP Services to charge the payment method on file for authorized reservation-related charges and damages.


    Agreement to Terms

    By reserving transportation services with Royal VIP Services, the client acknowledges and agrees to all terms, policies, procedures, liability limitations, operational guidelines, payment policies, cancellation rules, and service conditions described herein.

    Royal VIP Services reserves the right to modify these policies at any time without prior notice.

  • Event/Charter cancellations:
     – >48 hrs: $300 or 50% (greater of both)
     – <14 days: 100% fee

Vehicle Rules & Conduct

No smoking, vaping, alcohol under 21, or eating allowed. Chauffeur may terminate ride without refund if rules are broken.

Limitations of Liability

We are not liable for:

  • Missed flights due to traffic/weather
